The Administrative Assistant would support the daily administrative functions to maintain Regional Risk Management Department operations at Bon Secours Charity Health System (“BSCHS”) based at Good Samaritan Hospital. Person hired into this role will be expected to: timely handle incoming and outgoing departmental legal correspondence; schedule meetings; process time sensitive documents / data related to litigation / insurance / risk management program; coordinate with defense counsel on meetings with witnesses; gather documents for litigation discovery requests; gather information on small claims and other discovery items; maintain the integrity of Risk Management department filing system. Reports directly to (“BSCHS”) Regional Director of Risk Management and supports 3 claims investigators.
Â Accept service on time sensitive legal documents served upon the organization. Â Produce and transmit correspondence to defense counsel. Â Assist BSCHS Regional Director of Risk Management and claims investigators in gathering documents needed to help defend hospital’s interests. Â Notify designated departments to secure documents / evidence needed to defend hospital’s interests; ensure that requests are completed in timely manner; maintain organized system for recording and following up on requests and ensuring that defense counsel receives items requested (such as copies of medical records; copies of policies; CD of diagnostic studies; billing records, etc.) Â Create and maintain organized filing system for department. Â Ensure that initial notice on all matters is properly routed to key stakeholders as directed by BSCHS Regional Director of Risk Management / Claims Investigators to ensure proper notification of new claims. Â Coordinate meeting schedules for department leader including high profile meetings with various interdepartmental leaders and committees. Â Ensure that claims meeting materials are timely copied and distributed to claims meeting attendees. Â Coordinate with defense counsel on setting up schedule for meetings with witnesses. Â Coordinate details for meeting venues for claims meetings. Â Reconcile Kronos timekeeping records for the department so that department manager can timely sign off for each pay period. Â Maintain department supplies; assess inventory and timely submit supply re-orders to support department functions. Â Assist in gathering information to resolve small claims for lost or damaged property belonging to patients or employees. Â Assist in obtaining various data and documents for annual insurance policy renewals. Qualifications/Requirements:
Prior experience working in a law firm or an insurance company as a paralegal or administrative support role highly desired.
High school graduate; college degree, preferred.
Licenses / Certifications:
Paralegal training, preferred.
: Strong organizational skills; ability to communicate and coordinate well with staff members at all levels; ability to deal with a wide range of administrative and clerical duties; ability to effectively use computer applications including spreadsheets, word processing, calendar, email and database software in performing work assignments; ability to read, write, speak, understand, and communicate in English sufficiently to perform the essential duties of the position; sound judgment; common sense; resourcefulness, initiative; physical condition commensurate with the requirements of the position. Special Note* Education beyond the secondary level must be from an institution recognized or accredited by the Board of Regents of the New York State Education Department as a post-secondary, degree-granting institution.
