Summary:

Administrative Assistant is responsible for performing a variety of clerical duties for office manager, clinical services manager, or physicians.

Responsibilities:

• Attends all required in-services.• Maintains records files and logs.• Inputs and retrieves data into the computer.• Maintains Kronos time keeping system. • Works independently and willingly accepts other assignments as requested. Communicates with the public. Works under pressure and handles multiple priorities.• Maintains and updates hospital and departmental policies, procedures, etc.. Keeps hard-copy and intranet manuals current and up to date. Coordinates the purchase and renewal of subscriptions, journals, videos, etc.. Assists with mailings and distributions.• Creates special graphs charts and other presentation-specific display materials using Power Point and other graphic software.• Handles incoming/outgoing mail to include opening sorting and prioritizing. Answers routine inquiries and drafts correspondence and other documents as necessary.• Helps to identify supply needs for department. Maintains the supplies including the requests for outside purchases of supplies and equipment as requested. Initiates check/purchase requests as directed.• Prepares charts and timetables. Assists with the preparation of materials, agendas, notes, handouts, etc.. Attends meetings and takes minutes for Director.• Assists with presentation materials for committee, meetings, etc..• Prepares reports, minutes, letters, etc..• Schedules appointments/meetings. Makes travel/conference arrangements.

Experience:

Minimum two years of administrative assistant experience in a medical office setting. Ability to organize/prioritize duties. Knowledge of medical terminology and office procedures. Skill in organizational matters, including time management, prioritization, multitasking, and problem-solving

Education:

High school diploma or general equivalency diploma (GED) Required.
