Job Details:

The Administrative Assistant is responsible for providing clerical and administrative support to the system director, LTC Services, and senior management. This position is responsible for maintaining reports, arranging meetings and handling correspondence for the administrative staff.

  • Communicates pertinent information to staff and management in a complete and timely manner.
  • Compiles information as requested in a detailed fashion and prepares appropriate correspondence.
  • Answers routine telephone calls and written correspondences on own initiative using good judgment and assessment skills to evaluate each situation.
  • Prepares inter- and intra-departmental mailings as needed.
  • Coordinates schedule of management and committee meetings.
  • Arranges for conference rooms and audiovisual equipment.
  • Processes specialty supply orders (Lawson, Medline).
  • Processes invoices for payment.
  • Maintains departmental policy and procedure manual.
  • Sets up appointments and meetings for administrative staff as needed.
  • Maintains contract book and revises contracts as needed.
  • Processes payroll for administration staff using Kronos.
  • Processes expenses and mileage for administration staff using Concur.
  • Schedules education and webinars for the staff. ·Processes checks for Schervier Pavilion, Mount Alverno Center and St. Josephs Place for resident billing.
  • Maintains all documentation for annual New York State Health Department Survey and Compliance.
  • Maintains licensure for NYS Control Substance License and NYS CLIA (Clinical Laboratory Evaluation Program).
  • Maintains documents for reportable incidents and complaints.
  • Performs other duties as assigned.

Minimum 3 years secretarial/clerical experience required in a health care setting preferred.

High School diploma or equivalency required.

If applicable, the individual performing this job may reasonably anticipate coming into contact with human blood and other potentially infectious materials. Individuals in this position are required to exercise universal precautions, use personal protective equipment and devices, and learn the policies concerning infection control.
