Job Summary:

The Admissions Coordinating Manager has the responsibility of managing all patients from initial referral via Allscripts to bed offer and Physical Medicine and Rehabilitation (PM&R) unit admission. This position facilitates / coordinates all communications between the referring service and the Physical Medicine and Rehabilitation (PM&R) admissions team.

Responsibilities:

Acts as a liaison between the referral institutions and the admissions team of the WMCHealth Valhalla Physical Medicine and Rehabilitation Unit (PM&R). Collection of all necessary medical documentation through a joint associated communication tool (Allscript) to assist the Admissions Liaison (see additional job description) on the completion of the admission pre-screens following CMS guidelines and HIPPA compliance. Responsible for pull through of pending admissions by managing each referral throughout the admission process. This includes assignment of referrals to the Admissions Liaison for initial screening, ongoing communication with the referring service through Allscript, initiation of financial screening, initiation and processing of insurance authorizations, bed offer, and bed assignment. As required, communicates with both the rehab team who will be admitting the patient and the referring service to obtain any additional documentation or records to facilitate the admissions process. Confirms isolation status and compliance with PM&R Unit COVID-19 screening requirements. Ensures that Inpatient rehab patients are billed under the correct diagnosis codes and that all billing transmission are successfully transmitted through processing. Plans, develops, and may conduct training programs to educate and eventually maintain proficiency in the admission process for all outside referral staff. Assists with the collection of quality metrics on admissions and discharges on the unit in order to support strategy initiatives in the development and growth of the unit. Works with staff to help coordinate performance improvement projects that help the unit exceed national averages in quality metrics for CMS. Responsible for the collection and distribution of discharge summaries and outcomes to referral sources. Provides communication and verification that all information was received at the referral source. May assist with patient record reviews to monitor compliance with CMS documentation requirements. May represent the Department Administrator in external contacts with community groups, organizations, and agencies. Qualifications/Requirements: A Baccalaureate degree from an accredited college or university in Public Health, Public Administration, Business Administration, Social Work, Psychology or Rehabilitation Counseling; and Two (2) years of full-time experience in medically-oriented health care and medical support systems environment, two (2) years of responsible level experience in business management systems or general administration including one (1) year in a supervisory or administrative capacity; or A satisfactory equivalent combination of education, training and/or experience
