Job Summary:

The Department Management Secretary (Care Management)is responsible for all the daily clerical operations of the care management department. This position is responsible for answering phones, processing mail, arranging meetings and taking minutes. In addition, The Department Management Secretary processes appeals, sends out daily schedules, provides support to the team and handles the calendar for the director of the department.

Responsibilities:

Schedules appointments, meetings, and travel for management team as directed. Records and transcribes minutes of various meetings. Coordinates utilization management meetings. Distributes mail correspondence and other material. Scans inpatient denial letters into chart. Answers incoming telephone lines and maintains emergency calling tree. Reviews image now document system for appropriate billing to department and records on master budget spreadsheet. Maintains comprehensive filing system for correspondence, records, and administrative data with appropriate indexing. Purges files of outdated materials and maintains stock of paper, brochures, and forms. Enters PTO on master calendar and maintains payroll data per established guidelines from Human Resources. Creates, maintains, and updates personnel files as required. Secures office for closing including telephone transfers, locking doors, checking coffee pots, etc. Transcribes letters, booklets, memos, telephone roster, newsletters, forms, and other correspondence as assigned. Submits security forms and orders equipment for new hires. Maintains and orders supplies for the office. Arranges and obtains authorizationfor Medicaid transportations. Schedules volunteers to assist with Transitions of Care phone calls. Assists with system appeals team with submission of appeals and assists the TOC team with tracking data. Performs other duties as assigned.

Qualifications / Requirements:

Experience:

Prior secretarial/administrative support experience in a health care setting preferred.

Education:

High School graduate or equivalent. Licenses: Certifications: N/A
