The Dept Management Secretary provides clerical and administrative support to allow the department to run efficiently along with providing customer services to our patient population.
Collaborates with staff regarding patient information while maintaining confidentiality. Schedules meetings, appointments, interviews and other commitments and maintains an up-to-date appointment calendar for the AVP/Director. Coordinates the details and arrangements for meetings within established time frames and prepares agendas and accommodations for the meeting. Liaison between the department and other Inter and Intra Hospital Affiliates, Physician Offices and Providers. Keeps initial records of department volume based on the scheduled cases. Schedules patient’s visits and procedural cases for all department areas. Utilizes the computer to maintain comprehensive filing systems for correspondence, records, and administrative data and purges files for outdated material annually. Provides open communication to staff on the location of documents and files in the shared drive. Completes assigned tasks and special assignments as delegated and within established time frames. Obtains information needed to complete work assignments efficiently. Orders supplies for the department. Handles daily mail including incoming, outgoing, and interoffice and distribution of all mail or email correspondence. Takes messages and responds to voicemails and inquiries from patients, staff and providers in a timely manner. Performs other duties as assigned.
Qualifications / Requirements:
Prior secretarial / administrative support, previous health care and terminology experience preferred.
High school diploma or equivalent required. Associate degree preferred.
Licenses / Certifications:
If applicable, the individual performing this job may reasonably anticipate coming into contact with human blood and other potentially infectious materials. Individuals in this position are required to exercise universal precautions, use personal protective equipment and devices, and learn the policies concerning infection control.
