Distinguishing Features of the Class: Under supervision, an incumbent of this classperforms routine clerical duties related to the day to day operation of apatient unit or medical service (inpatient or outpatient) or other supportservice of Westchester Medical Center. Workinvolves extensive contact with patients, their families, and hospital staff.Responsibilities include scheduling appointments, processing forms, providinginformation and maintaining detailed records and files. Good communication skills are an essentialfunction of this position to ensure the smooth and effective operation of theunit. Supervision is not aresponsibility of this class. Doesrelated work as required.Examples of Work: (IllustrativeOnly)Provides assistance to hospitalstaff, patients and their families/visitors, providing information and directions;Answers telephones, takesmessages and responds to inquiries for routine information, relays calls topatients, gives directions, and refers inquiries to nursing and physicianstaff; Distributes patient rightsbooklets and informs patients of same and ensures documentation; Establishes and maintains patientcharts upon admission and discharge;Reviews charts to identifyadvanced directive completion and follows up to ensure timely submission ofform as defined by regulation; Sets up, maintains, duplicates,tracks, matches, and purges records and files in accordance with establishedprocedures; Completes and processes forms,form letters and other records and charts in accordance with establishedprocedures; Checks records and forms forcompleteness and accuracy and makes necessary changes; Prepares flow sheets and problemlists as directed; Communicates with other hospitaldivisions; Maintains unit files and logs; Maintains appointment calendarfor an assigned hospital service; Opens, sorts and distributesincoming mail; Makes appropriate requests forwork orders and follows up to ensure completion; Maintains unit supplies inventoryby checking stock to determine inventory level, anticipating needed supplies, placingand expediting orders and verifying receipt; Arranges for repair of equipmentand follows up to ensure completion; Uses computer applications orother automated systems such as spreadsheets, word processing, calendar, email,and database software in performing work assignments;Maintains orderly, safe and cleanenvironment within assigned unit; May keep time and attendancerecords of staff, as requested; May collect payment for fees andissue receipts.RequiredKnowledge, Skills, Abilities and Attributes: Working knowledge of hospital organizationand procedures; ability to prepare and maintain records; good organizationaland time management skills; ability to deal courteously and effectively withthe public and professional staff; ability to communicate effectively bothorally and in writing; ability to speak and comprehend the spoken Englishlanguage, both directly and over the phone; ability to maintain composure and workquickly and efficiently under stressful conditions; good judgment and decisionmaking ability; good customer service skills as related to the position and thedelivery of care; accuracy; thoroughness; tact; physical condition commensuratewith the demands of the position.
